The Process
This process will outline the expectations of partnering with Pasquale’s for a great fundraising sale. Please review this whole process before applying.
1. Fill out the online application.
The online form will walk you through all the questions we need to answer to start your fundraising sale. Read this document first and confirm your organization’s approval before submitting your application. Click here for the application.
2. Select Dates:
Choose the date range for the sale. Usually, a 2–3 week selling period is suitable for allowing promotions to reach your audience.
3. Set Delivery & Pickup
Establish pickup date, time, and location details, which will be communicated before, during, and after the sale. This date should be 2-3 weeks after the sale. The location cannot be a residential address.
4. Promote, Promote, Promote!
Tell everyone about your sale with your group with flyers and social media posts. Remember to tell them these are PICKUP-ONLY orders at your Organization’s location. Orders can be placed online at http://Shop.Pasquales.Pizza and by hand through paper ordering forms if desired.
5. Close the Sale.
Send in a Master order of paper orders to your Pasquale’s contact. We will reconcile your online orders with paper orders and delivery fees to finalize the order.
6. Pizza Drop-off
A Pasquale’s freezer truck will bring your entire order to your group’s location. Together, we will verify the correct quantities in the order, and your group will receive a check for the proceeds from the sales. The truck will only be available for one hour.
7. Distribute pizza to your customers.
Your group will be responsible for communicating with the customers and delivering the products. Please be prepared to store some orders for any no-shows during pickup.
Delivery Fees
Delivery fees will be established before the sale and deducted from the profits. Orders over 500 units will have a 50% discount on delivery fees. Orders of over 1000 units will have the delivery fees waived. Some restrictions apply. For small orders, the delivery fee is offset if the unloading area is near our DSD truck routes. Delivery fees to your group are meant to cover the time and distance to and from the distribution center. Distance must be within a 150-mile radius of Humboldt or Des Moines in Iowa, and mileage will be calculated at $0.65/mile for the round trip. The driver fee will be $30/hr for the time from the dock in Humboldt or Des Moines to and from the destination, including an hour on location with the group. This cost will be established before your sale begins. **We can not deliver to a residential home**
Taking Paper Orders & Promotional Files
A PDF or Excel order sheet can be provided for taking orders by hand and can be customized for each organization. The organization will be responsible for printing and handing out individual order sheets to the group to procure sales. It is suggested that money be taken at the time of sale.
The Lead person will tally all the orders into a single Master Order and submit the order and payment for the wholesale price of the pizzas.
A flyer graphic will be provided to the Organization with the URL and QR code for online sales. The Organization should distribute this on social media and as a printed flyer to hand out in person. This will be delivered as a digital file through email with room to add your group's information and pick up details. The Organization will be responsible for printing copies to promote the sale.
Delivery
After closing your sale, we will review your online and paper orders to confirm the final numbers and delivery details. The previously established delivery fee will be re-evaluated for an order volume discount. The driver will arrive with a check of the proceeds and the pizza order. The driver will unload the pizzas and confirm the correct product count. The driver will not be able to stay longer than an hour and cannot help sort products for individual orders. Please plan for freezer storage of products that are not immediately picked up in an hour.
Margins
We aim to have fundraising margins be 40% or $5/pizza for the fundraising organization. The remainder of the funds are used to cover the cost of goods sold, the online sales platform, and other resources Pasquale's provides to help make sales possible. On delivery, the driver will give the organization a check for their profits from the sale.
